What information we collect, use, and why

• Membership - Name, Address, Telephone Number (Home and Mobile), email address, Permissions, NT Membership, Subscription Type, Amount, Date Due and Date Received, Payment Type and Bank Name

We will only use the personal data you provide to administer your membership of the Association, including use by sub-committees, and to send you information about the Associations forthcoming events. Organisers of outings or holidays may use appropriate data to assist them with organisation and bookings. For example Hotels and Coach companies may require some information in order to book their services.

• YANT Committee, sub-committee and Walks Leaders – Name, Role, Records of Consent, Home and email Addresses, Home and MobileTelephone Numbers.

Used for contact information on our website and activity booking forms.

• Newsletter Contributors – Name and contact details.

To ensure the correct attribution is given when publishing our Newsletter. The Newsletter is sent to our Members through the post and is also made available on our website.

Lawful bases and data protection rights

Our lawful basis for collecting or using personal information for use in our Membership records, quarterly newsletter, email notifications, on booking forms and on our website are:

    • Consent - we have permission from you after we gave you all the relevant information. All of your data protection rights may apply, except the right to object. To be clear, you do have the right to withdraw your consent at any time.

How long we keep information

    • For YANT Members, Committee Members and Walks Leaders - Personal information will be deleted one year after membership has ceased i.e. membership ends in March 2025, information deleted in March 2026.

    • For Newsletter Contributors – Newsletters will remain on our website for a minimum of 5 years.

Others we share personal information with

    • Publicly on our website, Booking Forms or other marketing and information media.

    • Brightwater Holidays, who arrange our holidays in conjunction with our Tours Organiser.

    • Hotels and Coach companies where necessary in order to book their services.

    • Inc Dot, who print the labels for our Newsletter and information sent by post.

    • MailChimp, who send our emails.

Sharing information outside the UK

Where necessary, we may transfer personal information outside of the UK. When doing so, we comply with the UK GDPR, making sure appropriate safeguards are in place.

NID   This cookie is used for advertising purposes; to limit the number of times the user sees an ad, to mute unwanted ads, and to measure the effectiveness of ads. It expires after 6 months. We do not include any advertisements on the site.

AEC  This cookie is used on every page and it is essential for functioning of the site. It is used to detect spam, fraud, and abuse to help ensure advertisers are not incorrectly charged for fraudulent or otherwise invalid impressions or interactions with ads. It expires after 6 months.

SSID, HSID, APISID, SAPISID, SID  These cookies are set by Google and they are placed on every page of the site. This can depend on whether the users are logged into their accounts or not. They contain digitally signed and encrypted records of a user’s Google Account ID and most recent sign-in time. The combination of these cookies allows Google to block many types of attack, such as attempts to steal the content of forms submitted in Google services. It expires after 2 years.

OSID  The OSID cookie is a Google calendar cookie that identifies a user and enhances functionality and personalization. It expires after 7 months.
